Marking work on an active property involves more than selecting a calendar date. Vehicles, tenants, customers, deliveries, and gate access all influence whether an area can be made available.
Start with the areas that cannot close
List entrances, accessible routes, loading areas, and service lanes that the property needs to keep available. If the work can be phased, identify possible sections. The goal is to make site constraints visible before a work window is discussed.
Find the people who control access
A property manager may approve the request while a different person controls gates, tenant notices, or vehicle movement. Share the right contact for each task. If another vendor is working on the site, flag the overlap.
Offer a preferred window and alternatives
State the preferred date or operating window and any alternatives. RAVFIA can review those preferences against the scope and its availability. A website request does not reserve a date; confirmation comes after review.
The access and scheduling worksheet gives teams a short list of questions to answer before sending an inquiry.
